California: Administrative Assistant


The Henry Wine Group, the leading fine wine importer and distributor, is conducting a search for an Administrative Assistant. Under the direction of the Senior Vice President of Sales and the Vice President of Corporate Sales, the Administrative Assistant aids three executives in staff capacity by analyzing and coordinating office services, including budget preparation and control, housekeeping, records control and special management studies by performing the following duties:

Essential Duties:

•Assist VPs with day-to-day administrative tasks, including (but not limited to) creation and analysis of daily and monthly sales reports and brand performance spreadsheets, organization and tracking of sales campaigns and incentives, sales seminar materials, Wine Education curriculum, travel arrangements, and manager expense reports.

•Independently organizes and coordinates division meetings, management meetings, and special events: coordinate meeting agenda and assist with set-up, catering, a/v equipment, and travel arrangements.

•Manages the scheduling and coordination of supplier market work in Northern California and statewide.

•Coordinates various travel and meeting arrangements and schedules for multiple executive managers.

•Provide administrative support to Sales and Portfolio Management VP’s: provide managers with reports on salesperson and brand performance.

•Assist with Corporate Sales with price management, correspondence with Customer Service and Portfolio management.

•Studies methods of improving work measurements or performance standards.

•Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.

•Prepares reports, including conclusions and recommendations for solution of administrative problems.
