California: Administrative Accounting Assistant


Clos Pegase Winery in Calistoga is looking for a new member to add to our dynamic team. We are an Estate Winery with a passion for Art, Architecture and of course the Highest Quality of Wines. Although we own 450 acres of land, our team is a small group of less than 30 dedicated, fun people who thrive in this family-owned business with a vision for a successful future.

The position of Administrative Accounting Assistant is exciting and dynamic.

General Responsibilities Include (but are not limited to):

• Responsible for general administrative duties including, but not limited to, e-mail distribution, main telephone operator, mail (collecting, distributing, posting) and office supply orders (including but not limited to letterhead, envelopes, paper, toner for printer, general supplies).

• Responds to requests for PR material including photos, slides, print matter, etc. in a manner consistent with company policy.

• Works with the Proprietor to organize Wine & Art presentation schedules. Responsible for dictation and general correspondence from the Proprietor, as directed.

• Maintains company databases, including but not limited to: Country Clubs; National Restaurant Association; Distributors and Consumers.

  • Responsible for other special projects and assignments as directed.

• Process all accounts payable invoices in a manner consistent with company policy. Create and compile check runs as directed.

  • Prepare daily deposits. Post all cash receipts in a timely manner in AMS.

• Prepare accurate customer invoices as needed (i.e. hospitality, grape sales, etc.). Follow-up on outstanding A/R balances.

• Assemble all bi-weekly payroll time sheet information for submission to Controller.

• Complete monthly reconciliation of inventory as directed and in a manner consistent with company policy.

• Maintain accurate customer/vendor contact information in AMS. Create new entries as needed.

• Prepare tax returns for all states in a manner consistent with all local, federal and state laws.

  • Prepare yearly 1099’s.

• Maintain cash register deposits in POS system for balancing.
